Events Terms and Conditions

General

This document sets out the terms and conditions between The Foundation for Innovation and Research – Malta (the Foundation) as an event organiser and you when you register for any event organised by the Foundation. By registering for an event organised by the Foundation you are agreeing to comply with these terms and conditions. You should read this document carefully.

The Foundation reserves the right to change, amend, add, or remove any of the above Events Terms and Conditions in its sole discretion and without prior notice. If one or more of the conditions outlined in these Events Terms and Conditions should become invalid, the remaining conditions will continue to be valid and apply. These Events Terms and Conditions apply to all event participants (attendees, speakers, sponsors, exhibitors).

The views expressed by any event attendee, speaker, exhibitor, or sponsor are not necessarily those of the Foundation. All event participants are solely responsible for the content of all individual or corporation presentations.

 

Acceptance of policies and registration conditions

The following Events Terms and Conditions apply to all Foundation’s events. Prior to your registration, you must acknowledge and accept the Events Terms and Conditions contained herein. Should you not wish to accept the Events Terms and Conditions you should not register.

Submission of a registration is regarded as affirmation of your acceptance of the Event Terms & Conditions.

 

How we will use your information

The Foundation is committed to data privacy and protecting your personal information. Information on how the Foundation collects, processes, and uses your data is included in the Foundation’s Privacy Policy which is hereby incorporated into these Terms & Conditions. Additionally, by submitting your email address during the event registration process, you agree that the Foundation may send you event-related information. A valid email address is required for all registrations.

The Foundation uses the personal data you provide in this registration for administering your participation in this event. This may include information about the event’s content, event logistics, payment, updates, and additional information related to the event.

The Foundation may disclose your personal data to third party service providers engaged by the Foundation to assist in the conduct of the event (e.g., mobile application provider). The Foundation will not disclose your personal data to any other third party without your consent except where required to do so by law.

 

Nondiscrimination policy

The Foundation prohibits discrimination, harassment, and bullying against any person for any reason—for example, because of age, ancestry, colour, disability, national origin, race, religion, gender, sexual or affectional orientation, gender identity, appearance, matriculation, political affiliation, marital status, veteran status, or any other characteristic protected by law.

 

Participants Obligations

Each participant of the event shall observe the rules, policies and procedures of the event venue including health and safety and any reasonable instructions; behave in a respectful, professional and appropriate way that does not breach the laws or regulations or that risks bringing the event organiser into disrepute; ensure they have adequate insurance for their own requirements, including personal accident and travel insurance, prior to attending event.

You agree that your travel to and attendance at an event is at your own risk and not the responsibility of the Foundation. Failure by any participant to obtain a visa to attend an event shall not entitle him or her to a refund of any fees.

 

Liability waiver & release

In consideration of being allowed to register for and participate in the event, you hereby warrant and represent that you are 18 or older and freely waive, release from liability, assume all risks, and covenant not to sue the Foundation and/or its personnel, or members for any expense, loss, damage, personal injury, including death, illness, disability, property damage, or property theft. Your heirs are bound by this Liability Waiver.

 

Photography Policy

Our events take place in public spaces therefore images from the events (including your image) may be collected by media agencies and members of the public that the event does not control and has not authorised. Therefore, the collection of images by these third parties is outside our control and you must speak to those agencies directly if you have concerns.

We will authorise the taking of photographs, moving images, and the filming of the event for different purposes connected to the event use on marketing, website, social media etc.

We cannot stop images of specific individuals being captured during the event by the official photographer, but we will endeavour to control the use of these images if you object to your image being used in any way that causes you loss or damage or otherwise infringes your rights.

If you do not wish your image to be used you may:

– avoid being in a group when group photo is taken.

– notify us in advance asking that your images captured are searched and deleted or edited.

– notify us if you subsequently see an image of yourself that you consider causes you loss or damage or otherwise infringes your rights asking that it or they be removed.

The Foundation will, on a case by case basis, use its reasonable efforts to comply with your request, but note that individuals must be identifiable to the event and that we are not obliged to remove images of an individual where he or she is not the main or a dominant feature of the image e.g. spotting your own face in an image of a group of people would not entitle you to deletion.
